Stage 1: Scanfile meets with the client to discuss general terms of reference and assess the basic print and copy environment. We will use this meeting to determine the general nature of the clients current resources and the nature and extent of their print and copy traffic. Within this meeting an agreed timeline is put in place so that the process runs smoothly.
Stage 2: Sophisticated software that tracks and monitors print usage through each printing device on your network is ''read'' from any USB port and the results are stored on the USB device. These results are then analysed against readings taken again in an agreed period of time.
Stage 3: Scanfile conduct, in depth, site surveys and fully evaluate the clients working environment. These are comprehensive operations audits of every relevant piece of data concerning the current IT / printer and photocopier resources. The result of these surveys are the fullest possible record of each installed photocopier, its configuration, calibration and peripherals and an assessment of each units relevance and suitability for the work group it is intended to serve. The result of the IT / printer survey is a record of each devices location, functionality, relevance and suitability giving a full description of the clients IT environment.
Stage 4: Scanfile, will, at the end of the discovery section analyse all the collected data from the software and manual audits and then prepare a terms of reference document to present to the client. The terms of reference document is discussed in depth with the client. This will lead to a final recommendation and proposal.
Stage 5: This document sets out all findings and relevant information, presenting the objectives, as agreed with the client, a full overview of the service, maintenance and management programme of the client site, an equipment range recommendation, and a full cost / benefit analysis of the proposal based on the clients current total cost of print, copying and storage and those proposed by the report.
Stage 6: The installation, commissioning and training on the selected digital devices, under a scheduled programme agreed with the client.
